Overview
Phase 1 - Inception
The inception phase focuses on identifying what the requirements of the Green Travel programme would be in agreeing the principles and objectives. It also aims to achieve concurrence and engagement among stakeholders.
This is achieved through an inception meeting with the programme's Steering Group and any key stakeholders. The inception meeting should discuss and agree the strategy, objectives, principles and roles and responsibilities. It should also identify actions and points of contact for the team.
The outcome of the Inception Stage is the Project Delivery Document (.doc, 79Kb) which defines the project, forms the basis for management and agrees criteria for success.
Depending on the scale and scope of the Green Travel programme, the cost of educating and engaging can range from nothing (using internal resources and donations) to upwards of around £20,000 (bringing external exhibitors on site).
Cost items to consider:
- Events (£0 for free events - £10,000 depending on exhibitors - see Sections 3 and 4 for more details)
- Marketing & Promotional Material (£0 for all electronic information - £1000 for range of printed flyers, brochures, hand outs - see Section 5 for more details)
- Prizes (£0 for donated prizes to £5000 for purchasing prizes)
Considerations:
- What internal funding is available to deliver the programme or different events?
- Does the organisation have existing relationships with providers who may be willing to attend or donate prizes free of charge?
- What are the priorities in terms of exhibitors?
